At LearnAE, we operate a professional training platform designed to build high-efficiency in-house video production infrastructure. This Privacy Policy outlines our commitment to transparency, data protection, and security, explaining how we collect, process, and secure user data.

2. Lawful Bases for Processing

In Plain English: UK GDPR requires us to have a valid legal reason for every way we use your data. We map our actions below.

3. Information We Collect and Process

In Plain English: We only collect the information necessary to evaluate your production bottlenecks, deliver our modules, book calls, and process payments.

We collect data through different phases of your interaction with our platform:

A. Quiz and Diagnostic Ingestion

When you complete our Video ROI Quiz (powered by Tally.so), we collect:

  • Identity details: Full name, business email address, and job role.
  • Diagnostics: Primary production bottlenecks, industry vertical, and target timelines.
  • Resource Readiness: Budget thresholds, organizational authority, and After Effects tool ownership.

B. Scheduling and Consultation

When booking a consultation or roadmap call via Cal.com:

  • We collect your name, email address, time zone, meeting objectives, and notes.

C. Transactions and Billing

When purchasing any product tier, payment details are handled directly by Stripe. We do not store or read your raw credit card numbers. We capture:

  • Billing email address and company name.
  • Transaction confirmation keys (Stripe reference IDs) and applied promotional tokens.

D. Course Completion and Progress

To track student progress and display metrics to corporate managers, we store:

  • Roster links connecting students to their parent organization.
  • Course module completion timestamps and self-reported student confidence ratings.

4. Third-Party Data Sharing (Recipients)

In Plain English: We share your data with trusted partners (our Data Processors) who help us run our hosting, billing, forms, scheduling, and email services. We never sell your data.

We share personal data with external service providers that act as our Data Processors. Each processor is contractually bound to process data only on our instructions and to maintain high standards of security:

  • Cloudflare, Inc.: Provides our edge hosting, database storage, and secure request routing.
  • Stripe, Inc.: Handles all payment processing and billing ledgers.
  • Tally BV (Tally.so): Operates the diagnostic quiz and form collection engine.
  • Cal.com, Inc.: Manages our roadmap call booking and scheduling systems.
  • Resend, Inc.: Handles transactional emails, CRM synchronization, and newsletter delivery.

5. International Data Transfers

In Plain English: Some of our software partners are based in the United States, meaning your data will be transferred outside the UK. We ensure safety standards are in place.

Because our technology stack relies on US-based platforms (such as Stripe, Cloudflare, and Resend), your personal data will be transferred to, and processed in, the United States. To safeguard your information, we ensure all transfers outside the United Kingdom and European Economic Area (EEA) are protected by approved safeguards:

  • Standard Contractual Clauses (SCCs) approved by the UK and European Commission.
  • Reliance on adequacy regulations, including the UK-US Data Bridge and the EU-US Data Privacy Framework (DPF) where applicable.

6. Cookies and Tracking

In Plain English: We do not use third-party tracking cookies. We only use strictly necessary session cookies to keep you safely logged into your dashboard.

Our cookie practices are designed to protect user privacy:

  • Necessary Cookies: We use first-party, secure HttpOnly cookies strictly to authenticate users and secure dashboard sessions (e.g., maintaining team and administrator access). These do not track your behavior across other websites.
  • No Tracking Cookies: Our telemetry (PostHog and Sentry) does not use tracking cookies. Our custom PostHog telemetry server-side proxy actively strips incoming cookie headers prior to forwarding event data, and Sentry error logs are sent without identifying cookies. We do not place non-essential analytics or advertising cookies on your browser.

7. Data Retention

In Plain English: We automatically delete or anonymize marketing and quiz details after 365 days.

We retain personal data only for as long as required to deliver our training services or comply with legal obligations.

Automated 365-Day Cleanup: Our backend database runs weekly automated tasks. Any historical lead details, quiz answers, and telemetry data older than 365 days are automatically anonymized or permanently deleted to ensure we do not retain unnecessary historical data.

8. Your Legal Rights

In Plain English: You have complete control over your data. You can access it, delete it, correct errors, withdraw your marketing consent, or complain to the ICO if you are unhappy.

Under the UK GDPR, you have the following rights regarding your personal information:

  • Right to Withdraw Consent: Where processing is based on consent (such as our newsletter and marketing lists), you can withdraw your consent at any time. You can do this instantly by clicking the "unsubscribe" link at the bottom of any email we send you, or by contacting us at privacy@learnae.org.
  • Right of Access: You can request a copy of the personal data we hold about you.
  • Right to Rectification: You can request that we correct any inaccurate or incomplete details.
  • Right to Erasure (Right to be Forgotten): You can request that we delete your personal data.
